1 Parties & Agreement

These Terms of Service ("Terms") form a legally binding contract between you ("User", "you") and FinOwl, operated by Polsia Ltd ("FinOwl", "we", "us", "our"), a company registered in England and Wales.

By creating an account, completing a subscription payment, or accessing any part of the FinOwl platform at finowl.co.uk, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

If you are entering into these Terms on behalf of a business, you represent that you have authority to bind that business to these Terms.

You must be at least 18 years old and a UK resident or operating a UK-based business to use FinOwl.

2 The Service

FinOwl is a cloud-based bookkeeping and financial management platform designed for UK sole traders, freelancers, and small businesses. The service includes:

Important: FinOwl is a bookkeeping and financial record-keeping tool. It is not a regulated financial adviser, accountant, or tax adviser. Nothing on the platform constitutes financial, tax, or legal advice. You remain responsible for the accuracy of your submissions to HMRC and for complying with all applicable tax obligations.

3 User Accounts

Registration

You must provide a valid email address to create an account. FinOwl uses passwordless email authentication — we send a secure login link to your email address each time you sign in.

Account security

You are responsible for maintaining the security of your email account and login links. You must:

Account information accuracy

You agree to provide accurate, current, and complete information when registering and to keep this information updated. We may suspend accounts where we have reason to believe information provided is false or misleading.

One account per business

Each FinOwl subscription is intended for one legal entity (e.g., one sole trader or one limited company). You must not use a single account to manage the finances of multiple separate businesses without our written consent.

4 Subscription & Billing

Pricing

FinOwl is offered on a subscription basis at £79 per month (including VAT where applicable) for sole traders and freelancers. Pricing for limited companies will be published separately when that product launches.

Billing cycle

Subscriptions are billed monthly on a recurring basis via Stripe. Your subscription renews automatically on the same calendar day each month unless cancelled before the renewal date.

Payment processing

Payments are processed securely by Stripe, Inc. FinOwl does not store your card details. By subscribing, you also agree to Stripe's Terms of Service.

Pricing changes

We reserve the right to change our pricing. We will give you at least 30 days' written notice (by email) before any price increase takes effect. Continued use of the service after a price change constitutes acceptance of the new pricing.

Taxes

Prices quoted on the website are exclusive of VAT unless otherwise stated. Where VAT applies, it will be added at checkout at the prevailing UK rate.

5 Cancellation & Refunds

Cancellation

You may cancel your subscription at any time by contacting us at finowl@polsia.app or via the account settings in your dashboard. Cancellation takes effect at the end of the current billing period. You will retain access to the service until that date.

Refund policy

We do not offer refunds for partial months of service. If you cancel mid-cycle, you will continue to have access until your billing period ends — no refund will be issued for unused days.

Data after cancellation

After cancellation, your account and financial data will be retained for 90 days, during which you may request a data export. After 90 days, your data will be deleted in accordance with our Privacy Policy.

6 Acceptable Use

You agree to use FinOwl only for lawful purposes and in accordance with these Terms. You must not:

We reserve the right to investigate and take appropriate action against any violation of this section, including immediate account suspension and reporting to law enforcement where required.

7 Financial Data & Open Banking

Open Banking consent

FinOwl connects to your bank accounts via Open Banking, facilitated by TrueLayer Ltd, an FCA-regulated Account Information Service Provider (AISP). When you connect a bank account, you are granting TrueLayer the right to read your transaction history on your behalf. FinOwl receives read-only access to your transaction data — we cannot initiate payments or transfers.

Your data is yours

All financial data you import into FinOwl remains yours. We process it solely to provide the service described in these Terms. We do not sell your financial data to third parties. See our Privacy Policy for full details on how we handle your data.

Accuracy of categorisation

FinOwl uses AI to categorise your transactions. While we strive for accuracy, AI categorisation is not infallible. You are responsible for reviewing and correcting any misclassifications before submitting information to HMRC or your accountant.

HMRC submissions

FinOwl assists you in preparing financial records in a format compatible with HMRC's Making Tax Digital (MTD) requirements. However, submitting tax returns and VAT returns to HMRC remains your legal responsibility. FinOwl is a preparation tool, not an authorised tax agent.

8 Intellectual Property

Our platform

FinOwl, its software, design, trademarks, and all associated intellectual property are owned by or licensed to Polsia Ltd. These Terms do not grant you any rights in our intellectual property beyond what is strictly necessary to use the service.

Your data

You retain full ownership of all financial data, documents, and content you upload to FinOwl. You grant us a limited, non-exclusive licence to process, store, and display your data solely for the purpose of providing the service to you.

Feedback

If you submit feedback, suggestions, or ideas about the platform, you grant us a royalty-free, perpetual licence to use that feedback to improve our products and services. We will not identify you as the source without your permission.

9 Liability Limitations

Summary: We are not liable for financial losses arising from errors in AI categorisation, your reliance on FinOwl for tax decisions, or service downtime. Our total liability is capped at the fees you paid in the 12 months preceding a claim.

To the maximum extent permitted by applicable UK law:

Nothing in these Terms limits our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any liability that cannot be excluded by UK law.

If you are a consumer (not acting in the course of a business), your statutory rights under UK consumer protection law are not affected by these Terms.

10 Service Availability

We aim to maintain high availability for FinOwl but we do not guarantee uninterrupted service. The platform may be unavailable during:

We target 99.5% monthly uptime. If the service experiences prolonged downtime (more than 72 consecutive hours), you may contact us to discuss a prorated credit at our discretion.

We reserve the right to modify, suspend, or discontinue any feature of the platform at any time. For significant changes, we will provide reasonable advance notice by email.

11 Account Termination

Termination by you

You may close your account at any time by contacting finowl@polsia.app. This will cancel your subscription and schedule your data for deletion as described in Section 5.

Termination by us

We may suspend or terminate your account with immediate effect if:

If we terminate your account for breach, we are not obligated to issue a refund for any remaining subscription period. If we terminate your account for any other reason (e.g., business discontinuation), we will provide at least 30 days' notice and a prorated refund where applicable.

Effect of termination

On termination, your right to access the platform ceases immediately. Provisions of these Terms that by their nature should survive termination — including liability limitations, governing law, and data retention — will continue to apply.

12 Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by email at least 14 days before they take effect.

If you continue to use FinOwl after the updated Terms come into effect, you are deemed to have accepted them. If you do not agree to the updated Terms, you must cancel your subscription before the changes take effect.

The date at the top of this page reflects when the Terms were last updated. We recommend reviewing these Terms periodically.

13 Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If you are a consumer based in Scotland or Northern Ireland, you may have additional rights under local law, and local courts may also have jurisdiction over disputes.
